Software creator Blue Crystal Solutions has updated its products with new features
Blue Crystal Solutions has been creating fleet maintenance and management software for workshops, hauliers, vehicle rental and coach hire companies since 2008. The company welcomed its new Commercial Director, Tom Moore, on 3 February 2020.
Tom started his career driving pressurised tankers across Europe before taking the knowledge and experience of a professional HGV operator into the trailer rental, leasing and maintenance sector. “From here, I worked my way into a commercial account manager role several years ago, as this is where my expertise and drive supports what I do,” he said.
He aims to develop awareness of Blue Crystal Solutions and its products in order to grow the business into the UK’s leading software provider of choice. “From there, we may just branch out into the European market place,” he added.
He told FACTS about the company’s products and how they help fleet operators. Blue Crystal, he noted, was in perfect position to help customers navigate towards digital solutions.
“For the transport industry, now is the perfect time for the product that Blue Crystal empowers,” Tom said. “Not only is our in-house developed software of the highest quality, governing bodies are driving software systems to become a necessity rather than a want. Within a short timeframe, we feel that transport companies will in some way have an electronic method and paperless system and our software provides the perfect solution for this.”
With the industry facing challenges and uncertainties from a number of different fronts, digital solutions provide opportunities to make operations more efficient and cost effective.
“Within the industry, the biggest challenge is the fallout from the UK exiting the European Union,” Tom said. “The impact of this is still unknown, however, it will potentially drive forward the further need to streamline processes within the transport industry and software will provide a huge benefit.”
The company’s main product is its Rental and Fleet Management (RFM) System, which was created after extensive input from workshop staff, technicians and operational personnel. The modular nature of the company’s software means they can be used by businesses in haulage & transport, coach travel, rental and commercial workshops.
Blue Crystal offers a wide range of additional modules to add additional features to their system.
RFM Live is an online portal for an operator’s customers, who can use it to view their fleet when the operator uses Workshop Pro or Rental Pro. They can also download any attached documents as well as report defects and breakdowns.
The Workshop Pro and CoWorks modules are designed to provide maintenance assistance. Workshop Pro is the main maintenance module looking after all aspects of commercial vehicle maintenance. This includes maintenance dates, job cards, inspection sheets, estimates, customers, supplier purchase orders, parts and stock and so much more.
CoWorks is the upgraded version of Workshop Pro, adding in additional features that monitor technician efficiency, productivity, absence management, attendance and additional reporting.
Blue Crystal offers an android tablet-based app called RFM Go, designed for technicians to carry out job cards and inspection sheets digitally. Jobs created within RFM are pushed to the technician ready to be actioned. RFM Go tracks the time used on the job, giving you the exact time taken to complete the job allowing accurate customer invoicing.
RFM Go also works hand-in-hand with CoWorks capturing the figures required to produce technician efficiency and productivity reporting. Breaks are also recorded so a technician’s full daily activity can be reviewed. Jobs can also be created on RFM Go making it very flexible for mobile technicians.
For driver walkaround inspections, Blue Crystal offers the Driver-i app. Designed with simplicity in mind, it makes it straightforward for drivers to carry out the mandated daily pre-use checks, whilst also keeping the signature Blue Crystal feature-rich philosophy. This paired with Driver Pro allows the administration of driver accounts, storing driver details, licence expiry dates, road traffic collisions, driver history and defect management.
Breakdown Manager is another module within RFM that processes incoming breakdowns from customers via the RFM live portal, a company’s drivers through Driver-i or manual entry by the Breakdown Manager operator. This allows the breakdown to be converted into a purchase order or job card for use with Workshop Pro or RFM Go. It also has a map feature to view where the breakdown is located and if relevant, where the closest suppliers are.
With a new commercial director at the helm, and a number of updates in the works, Blue Crystal is at the cutting edge of digital solutions. “I see the company evolving into a bigger organisation with many key influential customers,” Tom said. “Being the go to business for fleet management software within our industry, within five years the aim is to be the first thought in anybody’s mind for wanting fleet management software.”
By listening to customer feedback, Blue Crystal has enhanced RFM and RFM Go. “RFM Go v5 takes everything that we have improved in v4 and made it even better,” Tom said.
